Outlook4Gmail User Manual
Below you will find instructions on configuring Outlook4Gmail options for Outlook 2010.
Outlook4Gmail creates its own tab in the MS Outlook Options. To open Outlook4Gmail select “Tools” in the Outlook main menu, then the “Options” submenu and finally the “Outlook4Gmail” tab.

Configuring and managing Gmail accounts

First of all you should define a list of Gmail accounts for synchronization. The “Gmail accounts” section lists all accounts. Right-click on the context menu displaying two options – “AddNew” and “Delete” or click the appropriate buttons to add new accounts or delete the existing ones. To edit an account address or password click on the appropriate field and change it accordingly. The checkbox is used to activate/deactivate accounts to be synchronized.
Managing synchronization direction

The “Contacts source” represents 3 synchronization ways/directions:
- Get contacts from Gmail account only – the only source is Gmail and its address book which will not be changed, it is Outlook contacts that will be updated;
- Get contacts from Outlook only – the only source is Outlook and its address book which will not be changed, it is Gmail contacts that will be updated;
- Get contacts from both Gmail accounts and Outlook – in this case all address books will be synchronized (updated) – both Outlook and all active Gmail accounts will be modified.
Conflicts resolution policy

In the “For identical Outlook and Gmail items” section you will have to select one of the 3 options of conflicts resolution if contacts have identical “Full Name” fields:
- Replace Outlook contacts with Gmail contacts – Gmail contacts have the priority, thus Outlook contacts data will be replaced with the corresponding Gmail contacts data;
- Leave Outlook contacts – Outlook contacts have the priority, thus Gmail contacts data will be replaced with the corresponding Outlook contacts data;
- Save recently updated contacts – the priority belongs to the contacts that were modified most recently (modification dates are compared). In this case the most recently modified contacts will remain unchanged.
Outlook4Gmail provides real time synchronization of your Gmail and Outlook contacts by running an automatic update check-up. Whenever changes occur – adding, deleting or editing contacts – synchronization will be performed in the background. You can enable this real-time sync in the “Other options” section, just check the “Real time items update” box. However, this option will be applied only if your Outlook contacts are set as the source ones, i.e. if the “Get contacts from Outlook only” or “ Get contacts from both Gmail accounts and Outlook ” option has been selected. In the most recent version 2.6 real time update for Gmail contacts source for one-way synchronization is automatically disabled.
Contacts Synchronization/Update
The synchronization process can be started manually from the Outlook4Gmail tab (MS Outlook “Options” menu), or using the “Tools” → “Outlook4Gmail/Update Contacts” menu. A simple progress dialog box will show the synchronization/update progress and the results will enable you to view the log of updated contacts and synchronization/update process.

You can view your contacts synchronization/update history for both directions clicking on the Outlook4Gmail
“View History” tab (MS Outlook ‘Options’ → Outlook4Gmail), as well as events of the synchronization/update process itself by clicking on the
“View Event Log” button.
